- Position Overview: Are you a proactive and highly organized professional looking to support a dynamic leader in a fast-paced environment? Paul Hemmer Company, a leading regional construction management, building services, and real estate development firm based in Northern Kentucky, is seeking an Executive Coordinator to support the CEO. This role offers an exciting opportunity to contribute to the success of a well-established and innovative company. This role requires a high degree of professionalism, discretion, organization, and communication skills to ensure seamless daily operations and strategic execution.
- Key Responsibilities:
- Administrative Support: Manage the CEO’s calendar, including scheduling appointments, meetings, and coordinating with various departments.
- Communication Management: Serve as the primary point of contact between the CEO and internal/external stakeholders. Handle correspondence, emails, and phone calls with professionalism ensuring timely responses and clear communication.
- Meeting Coordination: Coordinate logistics, prepare agendas, and ensure materials are ready for meetings, events, and conferences. Ensure follow-up on action items and deadlines.
- Project Management: Assist in managing high-impact projects, often of a confidential nature, tracking deadlines, and providing updates to the CEO ensuring they are completed on time and within scope.
- Document Preparation: Create and edit reports, presentations, and correspondence for the CEO as needed.
- Strategic Support: Compile data to assist with decision-making. Identify opportunities for process improvement and propose solutions. Provide input on high-level strategies when appropriate.
- Research and Analysis: Conduct research and compile data to support the CEO’s decision-making process.
- Liaison Role: Act as a liaison between the CEO and the executive team, board of directors, and other key stakeholders.
- Handle Confidential Information: Manage sensitive data with discretion and professionalism.
- Office Management: Ensure the executive office runs smoothly, addressing any logistical or operational needs.
- Miscellaneous: Organize and book travel, including accommodation and transportation.
- Qualifications:
- Experience: Proven track record in an executive assistant role, preferably within a large, multi-division organization.
- Skills: Exceptional organizational skills, attention to detail, and the ability to multitask. Strong written and verbal communication skills.
- Discretion: High level of integrity and discretion in handling confidential information.
- Technical Proficiency: Proficient in Microsoft Office Suite and other relevant software.
- Education: Bachelor’s degree in business administration or a related field preferred.
